COVID 19 SAFETY PLAN

Purpose: To create an environment where patients can safely receive massage therapy as the risk of transmission of the coronavirus that causes COVID-19 has been minimized.

Somatic Balance Massage Therapy Inc., and/or Hody Lye, RMT (collectively referred to as "Clinic"") have implemented the following protocols:

  1. PRE-SCREENING PROTOCOL

    The following measures shall be undertaken by the Clinic for every Patient at the time of booking and 24-48 hours prior to appointment:
    1. Clinic shall inform each Patient about the COVID-19 safety measures implemented by the Clinic and shall answer any questions asked by the Patient.
    2. Clinic shall inform each Patient that Clinic will supply Patient with a new clean mask at the beginning of each treatment session.
    3. Clinic shall inform each Patient that Patient shall be required to change out of Patient's mask into a new Clinic mask at arrival unless the Patient is wearing a cleaned mask that was previously provided by the Clinic.
    4. Clinic shall inform Patients that Patient must wear the mask provided by the Clinic at all times within the Clinic.
    5. When booking an appointment and within twenty-four (24) to forty-eight (48) hours prior to Patient's scheduled appointment, Clinic shall ask each Patient all questions detailed in the BC COVID-19 Symptom Self-Assessment and any other COVID-19 related questions deemed necessary including whether Patient has travelled outside of British Columbia within the previous fourteen (14) days and whether Patient has tested positive for the COVID-19 virus.
    6. Clinic shall not schedule an appointment for Patient at that time and/or shall cancel Patient's appointment if Patient is not in compliance with the then current Provincial Health Order as determined solely by the Clinic.
    7. If Patient has travelled outside British Columbia in the previous fourteen (14) days, Patient shall not be scheduled for any treatment(s) during the mandatory quarantine period.
    8. Patients shall be advised to stay home and get tested for COVID-19 (by calling 8-1-1) if experiencing any symptoms of COVID-19, including fever, chills, cough, shortness of breath, sore throat, and loss of the sense of smell.
    9. Clinic's agent(s) shall discuss alternatives of care (i.e. postpone treatments, refer to Patient's physician, etc.) with the Patient who directly expresses concerns about treatment in light of the risks of coronavirus transmission.
    10. With respect to rendering treatment to healthcare workers, Clinic shall assess the risk of harm posed to Clinic and Clinic's patients on a case-by-case basis.
    11. With respect to individuals who have tested positive for the COVID-19 virus and have since recovered, Clinic shall assess the risk of harm posed to Clinic and Clinic's patients on a case-by-case basis.
  2. SCREENING PROTOCOL UPON A PATIENT'S ARRIVAL AT THE CLINIC

    The following safety measures shall be undertaken by the Clinic:
    1. Clinic shall use infrared technology to screen Patient for human febrile (fever) temperature prior to entry into the Clinic.
    2. Each Patient shall be asked by Clinic the questions detailed in the BC COVID-19 Symptom Self-Assessment and any other COVID-19 related questions deemed necessary by the Clinic including but not limited to whether Patient has travelled outside of British Columbia within the previous fourteen (14) days.
    3. Clinic shall assess the necessary precautions upon observation of Patient's presentation.
    4. Clinic shall cancel the treatment appointment without notice if the Patient does not satisfy the screening criteria upon physical presentation at the Clinic.
  3. GENERAL OPERATING PROTOCOL
    1. Clinic shall make available a copy of the Clinic's Safety Plan to patients upon request.
    2. Clinic shall truthfully answer Patient's questions about its health and contacts upon request.
    3. Each Patient must sign the Clinic's Assumption Of Risk Associated With COVID-19 & Consent To Treatment before the Clinic shall render treatment.
    4. Each Patient must also provide consent for the requested treatment before the Clinic shall render treatment.
    5. Clinic shall supply Patient with a new clean mask at the beginning of each treatment session.
    6. Patient shall be required to change out of Patient's mask into a new Clinic mask at arrival unless the Patient is wearing a cleaned mask that was previously provided by the Clinic.
    7. Patient must wear the mask provided by the Clinic at all times within the Clinic.
    8. With the booking appointment notification and/or appointment reminders sent by the Clinic, Clinic shall provide each Patient with the Clinic's Patient Responsibilities Notice, outlining the following requirements:
      1. In the interest of public safety, Patient shall comply with the directives of the Clinic at all times.
      2. Patient shall call Clinic at (604) 513-8161 as soon as possible prior to a scheduled appointment if Patient is not feeling well.
      3. Patient is encouraged to take care of all matters of a personal nature (i.e. use washroom facilities) prior to visiting the Clinic.
      4. Patient shall take care to arrive with unsoiled hands for Patient's appointment as soiled hands cannot be sanitized effectively with hand sanitizer alone.
      5. Patient shall wear the mask provided by the Clinic at all times within the Clinic including during the treatment.
      6. Patient shall avoid touching or adjusting mask while in use.
      7. Patient shall refrain from touching his/her eyes, mouth, and nose as the coronavirus can be spread by touch and can easily enter mucous membranes in the mouth, nose, and eyes.
      8. If an itch must be addressed, Patient shall use a tissue, which are supplied by the Clinic, rather than directly touch its eyes, mouth, and nose.
      9. Patient shall limit the personal items that Patient brings into the Clinic.
      10. Patient shall be available by telephone twenty-four (24) to forty-eight (48) hours prior to the scheduled appointment time AND at the scheduled appointment time for the applicable health screening.
      11. Prior to the scheduled appointment time, Patient shall remain in Patient's vehicle until called by the Clinic.
      12. Patient shall not enter or loiter within the building that the Clinic is located in prior to the Patient's appointment and shall exit the building promptly after Patient's appointment.
      13. Patient shall not wait within the Clinic for any reason.
      14. Patient shall not be accompanied by a guest(s) unless Patient is a minor or requires special accommodation.
      15. If Patient requires any special accommodation(s), Patient shall put Clinic on notice of each such need well in advance of Patient's appointment.
      16. Patient shall sanitize hands at a minimum of six (6) times while at the Clinic, including but not limited to:
        1. Upon entry to the office complex at the Clinic's location
        2. Upon entry to the Clinic's treatment room
        3. Before treatment and prior to disrobing
        4. Before treatment and after disrobing
        5. After treatment and prior to getting dressed
        6. After treatment and after getting dressed
      17. Patient shall sanitize hands after touching or adjusting his/her mask.
      18. Patient shall avoid touching surfaces within the Clinic unnecessarily.
      19. Patient shall wait for Clinic to open doors for the Patient and shall refrain from touching any doors or door handles unnecessarily.
      20. In the unforeseen event that Patient must personally open a Clinic door, Patient shall sanitize hands prior to touching the door.
      21. Patient shall change out of Patient's mask into a new Clinic mask at arrival unless the Patient is wearing a cleaned mask that was previously provided by the Clinic.
      22. Patient shall wear the mask provided by the Clinic at all times within the Clinic and Clinic's washroom.
    9. Clinic shall advise Patient that the Clinic's cancellation policy has been modified and currently reads:
      A fee shall not be charged for short-notice cancellations. However, the full appointment rate shall be charged and owed by a patient who misses an appointment without calling the office at (604) 513-8161 prior to the appointment.
    10. Clinic does not have a waiting area so patients shall not wait inside the Clinic at any time.
    11. Clinic shall greet each patient at the door designated by the Clinic upon being telephonically summoned by the Clinic at the time of Patient's appointment.
    12. Clinic shall provide step-by-step guidance to patients in order to execute the Clinic's safety protocols.
    13. Clinic shall open Clinic doors for patients unless Clinic verbally directs otherwise.
    14. Clinic shall escort patients directly into the treatment room.
    15. Clinic shall engage in physical distancing outside of the Clinic's treatment room whenever possible.
    16. Physical distancing is impossible during treatment.
    17. Each Clinic employee shall personally complete the BC COVID-19 Symptom Self-Assessment daily, conduct a thermo-screening prior to starting work each day, and stay home/cancel appointments if experiencing COVID-19 symptoms.
    18. Clinic shall wash hands with soap and water for a minimum of 20 seconds each time or sanitize hands often, including but not limited to before and after each treatment, before donning mask, and after doffing mask.
    19. Clinic herein advises patients to minimize touching surfaces within the Clinic.
    20. Clinic shall provide tissues or towels as necessary for patients to use as a barrier when contacting high-touch surfaces.
    21. Clinic shall avoid touching its eyes, mouth, and nose, and shall use a tissue if an itch must be addressed.
    22. Clinic shall supply Patient with a new clean mask at the beginning of each treatment session.
    23. Patient shall be required to change out of Patient's mask into a new Clinic mask at arrival unless the Patient is wearing a cleaned mask that was previously provided by the Clinic.
    24. Patient is required to wear the mask provided by the Clinic at all times within the Clinic.
    25. Clinic employees shall wear masks at all times in the presence of patients.
    26. Clinic shall email a receipt of payment to patients paying through a wireless point-of-sale system.
    27. When Clinic accepts cash as payment, Clinic shall immediately sanitize hands and any surfaces touched after cash is secured in a safe location.
  4. ENHANCED CLEANING PROTOCOL ("ECP")

    Clinic has implemented the following safety measures as part of its ECP:
    1. Clinic's employees have undergone training on proper sanitation processes according to the BC Centre for Disease Control standards.
    2. Clinic's employees have received instruction on implementing the Clinic's Enhanced Cleaning Protocol and have received training on the techniques required to adhere to it.
    3. Clinic shall maintain and post a record with date and time entries of all surfaces cleaned/disinfected and shall make said record available upon a patient's request.
    4. Clinic shall clean and disinfect any visibly soiled surfaces.
    5. Clinic shall clean and disinfect all high-touch surfaces between patient treatment sessions. High-touch surfaces include light switches, phones, pens, styluses, POS machine, door knobs and handles, tablets, chairs, stools, shelf surfaces, desk surfaces, clothing bin, hangers, treatment table, table adjustment levers, automatic hand sanitizer(s), faucet, bolster(s), supplies/supply bottles, etc.
    6. Clinic shall use only CLEAN linens (including blankets) for each treatment session.
    7. Clinic shall launder all linens and masks in hot, soapy water before reuse.
    8. Clinic shall change outer clothing garments and mask between treatments, changing into CLEAN clothes and mask for each Patient, and will wash or sanitize hands prior to, during, and after each clothing and mask change.
    9. Clinic has removed all clutter, fabric furnishings, and decorations that cannot be sanitized.
    10. Clinic shall only use thermophores or hydrotherapy supplies in the treatment of patients in conjunction with a non-porous cover that can be cleaned and sanitized before every use.
    11. Clinic shall post the Hand-Washing Protocol poster from the B.C. Centre for Disease Control by the sink in the kitchen area of the Clinic.
    12. Clinic shall post the Cleaning and Disinfectants for Clinic Settings poster from the B.C. Centre for Disease Control in the Clinic's treatment room.
    13. Clinic has scheduled additional time between patients to thoroughly clean the Clinic areas between treatments.
    14. Clinic shall use tissues or towels whenever possible to use as a barrier when contacting high-touch surfaces.
    15. Clinic's HVAC system fan remains on and operating at all times during treatment to maximize fresh air intake and circulation.
    16. A HEPA air purifier is located within the Clinic's treatment room and shall remain operational at all times during treatments.
  5. REPORTING PROTOCOL

    Clinic shall comply with the reporting protocol established by the College of Massage Therapists of British Columbia, which is detailed below.
    If a patient alleges that they caught the COVID-19 virus from the Clinic, the Clinic shall take all of the following actions:
    1. Immediately call the Public Health Authority (PHA) at 8-1-1 and report the alleged transmission by providing the RMT's name, Patient's name, and Patient's contact information.
    2. Cease all operations (i.e. suspend all massage therapy treatments) until the PHA has investigated the Patient's claim and given direction to the Clinic.
    3. Immediately self-isolate until the PHA has investigated the Patient's claim and given direction to the Clinic.
    4. Immediately advise other professionals operating within the same practice environment of the risk of transmission.
    5. Immediately report to Clinic's insurer in accordance with the requirements of Clinic's insurance policy.
